Most visa trouble is a timing problem, not a paperwork problem. People buy the ticket, then start the application, then find out the appointment is three weeks away and the flight is in two. If you want visa assistance in Nairobi to be easy, the order matters: visa first, ticket second. This is the checklist we'd work through.

Do you need a visa at all?

It depends on your passport, where you're going and why. Rules change, sometimes with little warning, so last year's answer isn't good enough. Check the embassy or official government site for the country you're visiting, and check again close to travel. If an agent tells you something different, ask where they got it.

Passport first

Look at the passport before anything else. Many countries want it valid for a set time after your trip ends, and some ask for blank pages. Six months is a common figure, but check the exact rule for your destination. Renewing a passport takes time too, so fix that before you chase the visa.

The usual documents

Every country has its own list, and you should follow theirs, not ours. That said, the same things come up again and again. Expect to be asked for some of them: a valid passport, passport photos in the right size, a filled-in application, proof of where you'll stay, proof you can pay for the trip, and a travel plan. Some countries also want travel insurance. Others want an invitation letter if you're visiting someone.

Names and dates must match across every document. A booking in one spelling and a passport in another is how applications get sent back.

Business trips and group applications

A company sending several people needs one person owning the list: who has a valid passport, who needs which visa, whose documents are still missing. Start earlier than you think, because one weak application can hold up the whole trip. Ask each traveller for their documents by a set date, not "soon".

Questions to ask whoever is helping you

  1. Which country's rules are you working from, and when were they last checked?
  2. What exactly do you handle, and what do I have to do myself?
  3. How long does it usually take, and what can delay it?
  4. What are your fees, and what are the embassy's fees?
  5. What happens if the visa is refused?

Nobody can promise a visa. The decision belongs to the embassy. Be careful with anyone who does.

Questions people ask about visas

When should I start?

As soon as your dates are likely, and before you pay for anything you can't change. For a first trip to a new country, give yourself more time than you think you need.

Can I buy the ticket first?

You can, but it's a risk. If you must, choose a fare you can change or cancel, and read the terms before you pay.

Does an agent guarantee the visa?

No. Only the embassy or consulate decides. A good agent helps you apply properly and on time. That's all anyone can promise.

What if my visa is refused?

Ask the embassy what the refusal says and whether you can apply again. Don't rebook anything until you know. A refusal is also why changeable tickets and cancellable hotels are worth the extra.
